Description:
Other than Agenda items (Limit 30 minutes, 5 minutes per speaker). During the public comment part of each regular board meeting, up to 30 minutes of time will be allowed for district constituents to address the board. Each person may have up to 5 minutes of time to speak. This is a time of "listening" by the school board. The board is here to listen only and will not take action or discuss topics brought forward during the open forum. It may, at is discretion, ask questions for clarification of issues. The board may, if it deems appropriate, bring said issues forward at a subsequent meeting. NO PERSONAL ATTACKS WILL BE ALLOWED. The open forum is the only opportunity for members of the audience to speak out during the meeting. Please attach form and follow the guidelines for presenting your topic.

10. Action Items

10.1. Review and Act on Affinety Solutions Proposal - online fee collections for activities
Description:
Looked into 3 companies that provide online registration.
Goal: To provide an efficient system for parents to register students for activities (more of a online/paper free one stop shop). Everything can be done online through Affinety. On the admin side it will save time, give coaches up to date registration info, and will provide many additional tools to help keep us compliant with the MSHSL. Current system: We use google forms for collect personal information. Paper copies for the physical form and MSHSL Eligibility forms. Payment is done through Infinite Campus. Then lots of copying/pasting to get info to coaches. Renee has to transfer info to campus to assign fee. Looked at 3 companies: FeePay: Ties based that allows for online registration and fee processing. Merchant pricing was comparable to Affinety. Since we just moved to Infinite Campus it wouldn't make sense to go with FeePay that works better with Ties. Sportsengine: Designer is a graduate from Shakopee. Just purchased by SportsNBC. Used around the Hockey Youth Associations. Appears to have comparable merchants pricing. There is a fee for each transaction. Never heard a solid percentage though. It's new, looks nice, but not many schools are using it. Affinety: Talks with Infinite Campus. Rates have come down since Jeff first looked into it. Over 40 districts around the state use it. When talking with ADs who use it they are very satisfied with its capabilities. Locally owned and operated out of Minnetonka. Like the ability to customize certain aspects of the software to our needs, and like that we can advertise to offset cost if that is an route we wanted to go. (Info attached)

1. Motion to accept as presented in the Board Packet (1st attachment) 2. Motion to accept with all recommended changes from District's legal counsel (2nd attachment) 3. Motion to accept as presented in 1st attachment, but with additional language regarding the following: A. Under F4 in the agreement, add language that states: the School District's responsibility for salary and benefit increases will be capped at 3% annually. This would be done as a "middle ground" solution to the District's legal counsel recommendations and the City's proposal. |
